Colour Mark Bookings

A new option is now available to colour code your bookings which places a coloured marker next to the booking when displayed in the booking list underneath the calendar.

This means you can mark bookings to quickly see who is with who or perhaps you want to mark a booking which must not be moved or requires special attention.

To use this new option, move the mouse pointer to the left of the Account Code and a small oblong will appear. Click this repeatedly for a selection of colours. When you have the colour you want, select CLOSE and the colour will be updated next to the booking on the list.

 

Agency payments?

New invisible product function
There may be times when you want to add items to a guests bill which show up on the system but don't actually want the item to appear on the guests invoice. A good example is where an agency pays separately from the guest and you would rather not show the value paid by the agency. This can now be done by creating a product with a code starting with two hash symbols - ##.
So if you want a product called 'Superbreaks Prepayment' for example, create a product code ##SB and add this item to a guest bill as normal. The item will increase the amount owing on CaterBook but will not appear as part of the client invoice.

 

Multiple Payments

Paying a bill in installments?
CaterBook is now enabled to accept multiple payments against a booking. Up until now, there has been the option to pay a deposit and a final payment. It was possible to add more money to a payment but there was no record of when that payment was made.

Now, you can part pay a booking by entering the value as usual, however when you return to the payment you will be offered the option 'NEW PAYMENT'. Click this and you will be offered a new blank page to enter another payment. You can add up to three final payments on any client bill, which now enables you to 'split' the bill payments between perhaps a company and its employee and enter the payments when you receive them

 

Who moved that room ?

A New extension to the Who Did What report.
You will probably already know you can monitor significant actions made within the CaterBook system by using the Who Did What report, however there are times when you may just want to know about the actions made on a specific booking. Now you can do this.Bring the usual details of the booking you are interested in on the main screen of CaterBook and the press keyboard SHIFT +F2. enter WHO into the prompt box and CaterBook will display all the important actions made on that booking on-screen. And it's got an easy to remember rhyme too:

SHIFT F2 WHO

If you are using the security log in systems you will also be shown the name of the person who carried out the actions.
